Quantity Received must be 0 in MBP Ref No.

Ref.: - Message - Item <any item code> is not on inventory

Problem trying to receive picked up inventory from Transit.

Issue

Navision function Actions -> Receive Purchase/Transfer results in an error message:

Checking the General tab shows a value in Quantity Received.
Checking the Receive/Ship tab shows a PR document number in field Pickup Received.
Checking Item Ledger Entries for the ref shows that the lot number is in the Transit location.
Checking the ref. Documents section (probably) shows one (or more) Transfer Header / TRxxxxx docs.
Each time Actions -> Receive Purchase/Transfer is used, another TR doc is made

Resolution

The cause of this problem is that the quantity received & posted to the item ledger entries is not the same as the quantity currently in the Transfer Header document. Most commonly a result of an additional purchase receipt being posted (lower or higher) to revise the quantity.

Resolution is simple & just requires the Transfer Header document adjusting.
It can also be done by making a separate transfer ref.

Steps

  1. Check Gen. tab Exp. Qty value is correct.
  2. Check Gen. tab Qty Rec'd value, note it.
  3. Check Rec/Ship tab Actual Qty value is the same as in step #2
  4. Confirm the quantity value for the lot via the Tank Availability Report or Item Ledger Entries matches step #2
  5. Open the transfer order manually
  6. Select the item line & note the Quantity. The value will not be the same as the value noted in step #2 (it will be the original PO qty)
  7. Reset the Item Tracking to the quantity value as confirmed in step #2 & #4
     Line -> Item Tracking Lines -> Shipment  (do not change the lot#)
    Undefined will now show a value - this is expected at this point e.g.

  8. Esc from the tracking window
  9. Click the Quantity value in the line section & reset it to the new correct value noted in steps #2, 4
    (optionally, recheck the item tracking on the Shipment - Undefined should now be zero)
  10. Check the Posting Date is correct
  11. Check the Shipment Date is correct on the Transfer-from tab
  12. Post transfer
      Posting -> Post -> Ship
      Posting -> Post -> Receive
    13. Tidy the Ref. by removing the surplus Transfer Header docs made on each receipt attempt by:
           1. Open the Transfer Order, delete the tracking entry.
           2. Select the TR No. field & delete the Transfer Order with F4
Exercise caution when deleting the surplus Transfer Orders - ensure you only delete your ref. number's documents!

The inventory/lot should now be in the DL location (check with Tank Availability report or Item Ledger Entries) & normal shipment possible.
