Error message whilst trying to post a general journal.

Issue

A general journal has been fully prepared with all lines ready but not immediately posted.  Later, the journal posting is revisited to complete it but it will not post stating the following error message:
You have one or more documents that must be posted before you post document no. XXXXX
Why?
The system has automatically set the Document No. for you as defined by the systems No. Series function. It allocated the next available Document No. & added it your journal. Then, you or another user creates another journal & posts it with the same Document No.. The Doc. No. on your un-posted journal is now a lower number than the last used Doc. No. recorded in the No. Series.
E.G.
Journal line made with a Doc. No. ending in 118 but the No. Series controlling the Doc. No. allocation has now moved on to 120

Resolution

If there are only a couple of lines on the journal, just make a new one & the latest available Doc. No. will be added to the journal by the system.
If there are many lines & you don't wish to recreate it, you could do one of the following depending on permissions available.

Steps

  1. Look in General Ledger Entries & find the last used Document No.
  2. Open the No. Series configuration & look for the last used Document No. (not recommended)

Open General Ledger Entries
Tell me what you want to do


Apply a filter to the Document No. field & then sort it 'Descending'.

Why don't you save the filter for use later?
Will be available in all companies.


Note the highest Doc. No. posted & then set your journal to use the next number e.g. 118

Open the No. Series setup & look for 'Last No. Used'
This is not recommended & is not without risk.
Your permissions may prevent access.
